Summary:
This position serves as an interface with patients, providers, and staff and has primary responsibility appointment scheduling, greeting patients/visitors, and checks patients in and out.
The front office/medical receptionist assists with all incoming calls screening, transferring, and answering appropriately, timely and efficiently.
In addition, this position will be responsible for obtaining all information relating to patients, the collection of any fees and accurately recording information to the medical records system.
Essential duties and
Responsibilities:
Specific duties may include, but are not limited to the following:
Welcomes patients and visitors to the medical office by greeting patient and visitors in person and on the telephone.
Maintains complete and accurate patient records, including entering data into the computer, ensuring proper documentation of all procedures, and assisting with processing and billing of Managed Care, Family PACT, Medicare, Medi-Cal, CHPD, and CPSP for patient services.
Utilization of CAIR as directed by manager.
Answers inquiries or refers questions to the appropriate staff member.
Schedule and re-schedule patient appointments in practice.
Answers inbound calls and follows up on voicemail messages (returning call, routing to other staff, etc.
) Ensure TV Monitors are switched to ON and appropriate volume at all times Ensure Sliding Fee Schedule and other required notices are always visible and posted in English and Spanish.
Check insurance eligibility including Medicare, Medi-Cal, and private insurances.
Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area and providing updates regarding patient of delays.
Helps patients in distress by responding to emergencies with empathy and appropriate response.
Responsible to maintain inventory legible patient registration forms at front desk.
Maintain a schedule to insure a minimum of 25 completed appointments daily per full time physician and physician assistant to optimize patient satisfaction, provider effectiveness and utilization of examination and treatment rooms.
Distributes Patient Satisfaction Surveys to patients for completion (optional for patients).
Collects co-pays and records transaction(s) as directed.
Maintains reception area in neat and orderly condition during clinic operations.
Receive mail and other deliveries; provide outgoing mail to postal carrier.
During medical emergencies, summons ambulance or EMS and assists other staff members as instructed per provider of the day.
Protects patients' rights by maintaining confidentiality of personal and financial information.
Contributes to team effort by accomplishing related results as needed.
Other functions:
No-Show calls - contacts patients who missed an appointment to reschedule.
New List Patient appointment scheduling - contacts new patients to schedule initial provider appointment.
Delivers quality patient customer service by answering incoming phone calls or contacting patients by phone to confirm, remind and follow up no show clinic appointments and scheduled services exam.
Answering questions regarding all clinic services and activities.
Verifies and update patient demographics in record, including any notes necessary for the providers, or staff, or future reference on a daily basis.
Follows site-specific appointment protocols and keep documentation up-to-date to ensure compliance.
Position
Qualifications:
High school diploma Minimum 1 year of experience in a Medical Community Health Center's setting preferred.
Other related certificates or diplomas relevant to the current position field
Specific Requirements:
Previous patient scheduling, call center or reception experience preferred.
Previous experience with Medi-Cal programs and insurance eligibility Proven patient/customer service skills.
Must be Bi-lingual.
Familiarity with Medical Terminology preferred.
Able to work in a high volume/fast-paced environment.
Ability to work with sensitive and confidential information.
Operating knowledge of personal computers and MS Windows and Office applications (including Word, Excel and Outlook).
Must be able to interact with patients and team members in a responsible, professional and ethical manner.
Must be able to function effectively in a team-oriented environment.
Must be able to work independently with limited direction.
Must be reliable and demonstrate sound judgment and initiative.
Possess a high degree of accuracy in work output.
Ability to self-motivate.

Working Conditions:
Performs most duties under artificial lighting, with some daylight from windows or doors.
Most work is performed in front office on the phone and in-person.
Building is air conditioned during the summer months and heated during the winter season.
Building has tiled floors.
