Job Description Office Manager - DMV Titles office PURPOSE OF THE POSITION: The Office Manager is responsible organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. SCOPE: The manager reports to the District Manager and is responsible for providing office management services to the DMV title office. This includes maintaining office services and efficiency, supervising office staff and maintaining office records. RESPONSIBILITIES: 1. Maintain office services Design and implement office policies Establish standards and procedures for the proper administration of DMV documents Organize office operations and procedures Delegate work assignments and appropriate level of responsibility to staff. Supervise office staff Assess and identify staff training needs Evaluate and document the work of staff to ensure that it meets quality, quantity, and timeliness Prepare time sheets Control correspondences 2. Supervise office staff Recruit and select office staff Provide on the job and other training of DMV office procedures Supervise staff Evaluate staff performance Coaching and disciplining staff 3. Maintain office records Design filing systems Ensure filing systems are maintained and up to date Define procedures for record retention Ensure protection and security of files and records Ensure effective transfer of files and records Transfer and dispose records according to retention schedules and policies Ensure personnel files are up to date and secure 4. Maintain office efficiency: Plan and implement office systems, layout and equipment procurement Evaluate problems and issues relating to work unit/office programs, procedures, business processes, and/or policies. 5. Perform other related duties as required KNOWLEDGE, SKILLS AND ABILITIES Knowledge: The incumbent must have proficient knowledge in the following areas: Knowledge of office organization and administration. Ability to rapidly adapt to DMV requirements and processes Ability to maintain a high level of accuracy in preparing and entering information. Write clear and concise reports, policies, and procedures. Skills: The incumbent must demonstrate the following skills: Excellent interpersonal skills Team building skills Analytical and problem solving skills Decision making skills Effective verbal and listening communications skills Attention to detail and high accuracy Very effective organizational skills Communicate effectively in writing to employees, the public, government agencies, and other stakeholders Computer skills including the spreadsheet and word-processing programs, and e-mail at a highly proficient level Stress management skills Time management skills WORKING CONDITIONS Physical Demands: The DMV Office Manager will spend long hours sitting and using office equipment and computers. The Office Manager will also have to do some lifting of supplies and materials from time to time. Environmental Conditions: The incumbent is located in a busy, open area office. The incumbent is faced with constant interruptions and must meet with others on a regular basis.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
